Providence Surgical Services Registrar I in Anchorage, Alaska
Providence is calling an Surgical Services Registrar I (Perioperative Services Admin, Variable Shift, 1.0 FTE) to Providence Alaska Medical Center in Anchorage, Alaska. In this position you will:
Customer Service: Demonstrate excellent customer service skills in all interactions with physicians, physicians’ office staff, patients, department and hospital personnel. Interactions include telephone, in-person and electronic (email, fax etc) communication. If unable to answer customer’s questions or concerns, communicates so in a respectful manner and transfers inquiry to the appropriate supervisor, manager or department for follow-up. Maintains high level of confidentiality in all tasks and communications in line with hospital policy and procedures.
Daily Operations: Each Registrar will be assigned a primary function. In addition, they will be cross-trained and must maintain proficiency in at least one other function. Those are:
Front desk: Coordinate daily surgical case progress by monitoring the surgery schedule and actual case progress, serving as the incoming and outgoing central communication coordinator for the OR Charge RN, staff, surgeons, and anesthesiologists; assembles surgery documentation records prior to surgery and verifies surgical records are returned for each case, performs order entry for lab tests; and works with Transportation and Logistics Center and Patient Care Resource Services staff to coordinate patient transfer to recovery or patient placement directly to the nursing unit. Activates the call team, and works closely with Clinical Supervisor staff or Charge Nurse and Anesthesia Delegate to schedule add-on cases. Answers all incoming calls for the O.R. and addresses callers’ needs or escalates as appropriate. Works with Application Analyst, Enterprise Scheduling and Perioperative Services Systems Analyst to effectively utilize scheduling and surgical software systems. Processes and updates department information, such as disaster recall list. Other duties may include, among others, completing staffing and on-call schedules, journaling and charging.
Scheduling: Obtain necessary patient and specific surgical case information from the surgeon or surgeon’s scheduling office requesting surgical time. Determines availability for scheduling requests cases based on physician requests, allocated room block time, department staffing levels and other resource restrictions. Works closely with the Clinical Supervisor / Charge Nurse or RN Team Leader and surgeon offices to resolve scheduling conflicts, or scheduling barriers, in order to schedule procedures as requested or provide acceptable alternatives. Reviews the surgery schedule daily for accuracy and conflicts; revises, optimizes and communicates changes or escalates as necessary. Prepares and distributes Surgery and Endoscopy schedules. Works with Application Analyst, Enterprise Scheduling and Perioperative Services Systems Analyst to utilize scheduling software effectively. Other duties may include, among others, completing staffing and on-call schedules, and providing coverage for other Registrar functions.
Journaling: Verify pertinent parts of the surgery record have been completed, following-up with staff as necessary to help ensure the completeness and completeness of documentation. Enters and edits those pertinent patient’s perioperative data into the electronic surgery record. Data elements include but are not limited to preop diagnosis, delay codes, allergies, staff, procedures, instrument counts, discharge information, implant tracking, equipment and contract services.
Charges: Verify surgical documentation collected by Front Desk is complete for charging purposes, following-up with staff as necessary. Enters and edits patient charges based on surgical documentation. Ascertains item costs and charges not found in system through system research and communication with vendors or staff. Charges include surgical supplies and time, anesthesia medications, and recovery time. Performs initial charge reconciliation to ensure cases charged are processed and posted. Completes OR patient charging and charge error correction workflows within established time lines. Works closely with Perioperative Services Systems Analyst to effectively utilize surgical software systems. Other duties may include, among others, journaling, adding and inactivating items in the Item Master and / or Chargemaster and providing coverage for other Registrar functions.
- High school diploma or equivalent
2 years experience in medical office or acute care hospital
Basic knowledge of CPT and ICD-9 coding
