In this position you will:
PATIENT SCHEDULING: Accurately schedule patient procedures and appointments for PIC. Maintains close and open communication with all clinician offices and departments regarding pre-exam requirements, prep and procedures. Assures that patient and clinician (or clinician office staff) are informed of all pertinent appointment information such as exam preparations, appointment date and time, arrival instructions and ABN status where appropriate.
REGISTRATION PROCESS: Accurately interview and retrieve specific information from the patient, family or other representative in a sensitive, respectful and confidential manner. Completes required screens and forms, obtains copies of required items such as insurance cards, ID, guardianship papers, clinician orders, etc. Collects all relevant data concerning the patient and their procedure including films, results, and authorizations and billing information. Maintains knowledge of the insurance pre-authorization process.
CUSTOMER SERVICE: Demonstrate excellent customer service skills in all interactions with clinicians, patients and PIC personnel by conveying a positive attitude and supporting our Service Excellence standards. Implements care/services that recognize age/diversity specific needs/issues of all customers served. Follows departmental policy and uses appropriate communication means to keep all departments apprised of appointment changes.
COMMUNICATIONS: Place outgoing calls and answers all incoming calls using correct phone etiquette and exemplary customer service skills. Maintains high level of confidentiality in compliance with HIPAA rules and regulations in all communications.
FACILITY PRICE ESTIMATES: Communicate with patients to provide accurate price estimates for various procedures performed within the PIC facility.
DOCUMENTATION & PROCESSING: Accurately complete documentation for the registration process including, but not limited to, patient demographic and insurance information and obtaining pre-authorization from insurance, if applicable to job. Assures that complete and accurate data is collected and entered into registration and scheduling systems according to department procedure. Processes ABN information, where appropriate.
CRITICAL THINKING & TEAM WORK: Collaborate with co-workers, clinician offices and other departments to ensure a team environment. Works with team members to provide a smooth and efficient department operation, allowing for maximum comfort and confidentiality for the customer. Prioritizes workflow and knows when to ask for assistance.
PRODUCTIVITY: Assist with a wide range of department specific duties and activities to maintain maximum productivity as determined by supervisor. Displays initiative to maintain personal and departmental productivity and goals.
EDUCATION & QUALITY IMPROVEMENT: Actively participate in Quality Improvement programs by identifying opportunities and recommending solutions. Maintains working knowledge of procedures and insurance requirements; reads memos and bulletins and attends all staff meetings. Assumes responsibility for reviewing information from management in written or email format.
COMPLIANCE: Responsible to obtain the necessary knowledge and experience to perform job tasks in compliance with federal, state and local laws, regulations and guidelines. Maintains compliance with all PIC and department policies and procedures.

Required qualifications for this position include:
H.S. Diploma or GED
Experience with multi-line telephone systems, personal computer, printers, copiers and fax machines.
Preferred qualifications for this position include:
Six (6) months clerical background involving public contact, preferably medical. Ancillary department (such as Radiology), clerical or Admitting Representative/Scheduling specialist experience.
Experience with MS Office products such as Outlook, Excel, and Word.

Providence Imaging Center (PIC) is an independent diagnostic testing facility for outpatient medical imaging, located on the east side of the Providence Alaska Medical Center campus. PIC completed an expansion, which added 8,000 square feet, and several pieces of new equipment and 23 dedicated PIC parking spots conveniently located adjacent to the facility.
