Providence is calling a Grants Officer (Grants Administration, Day Shift, 1.0 FTE) to Providence Alaska Foundation in Anchorage, Alaska.

The Providence Alaska Region Grants Office was established for the purpose of centralizing all grant requests and funds operated by Providence Health & Services-Alaska (PH&SA). Under the supervision of the Foundation President, the Grants Officer develops and manages PH&SA government and private grants. The Grants Officer will be responsible for researching funding opportunities, ensuring compliance with the grants policy, proposal development, post-award compliance administration including agreement compliance and budget monitoring of all Providence Region Grants.

In this position you will:

  • Investigate potential grant opportunities; evaluate the eligibility of projects, coordinate with various staff and prepare quality grant applications and/or subsequent funding contracts; and monitor progress.

  • Serve as the liaison between the organization and funders to ensure contractual obligations for the projects are met and to process actions such as specialized equipment purchased, deliverables, modifications and closeouts. Speak authoritatively on grants administration matters as a representative of PH&SA.

  • Conduct the pre-approval process for projects and analyzes Requests for Proposals. Be the primary developer and reviewer for budgets and budget narratives for proposals, grants agreements and sub-grant proposals. In conjunction with the Office of Legal Affairs, review and analyze legal implications, potential liability, short-and long-term fiscal and programmatic implications and requirements of Requests for Proposals (RFPs) and make recommendations to the Foundation President as to their appropriateness for PH&SA.

  • Manage implementation of the grant agreements, provide diversified, professional support regarding compliance conditions; reading, interpreting, explaining and applying federal and state laws and administrative requirements for multiple federal and state grants.

  • Regularly meet with project directors to ensure reports are submitted and funds are expended per grant terms and conditions. Produce and ensure completion of all deliverables, including but not limited to, quarterly reports, workplans and annual budgets. Work closely with the Project Director to remedy any financial or performance issues to ensure smooth implementation, reporting and tracking of the individual project. Be expected to notify the Project Director of any grantee projects unable to meet their obligation and work to remedy these situations as they arise.Maintain all pertinent records, files and documents; assure completeness and accuracy consistent with external and internal audit requirements. Regularly coordinate grant administration matters with internal staff and maintains regular and recurring contacts with

  • various external grantors.

  • In collaboration with the Accounting Manager and Grants Accountant, identify financial discrepancies and monitors grant reporting requirements to ensure compliance. Receive and compare invoices submitted against project budgets to determine if costs are documented, allowable and within budget; tracking expenditures; generating program reports; approving or initiating approval of budget amendments and necessary accounting adjustments. Provide support for all internal and external audits.

  • Be responsible for documentation and up to date procedures for major grant related processes, including, but not limited to, pre-approval, submission, tracking, monitory, reporting and close-out.

Qualifications:

Required qualifications for this position include:

  • 4 years experience working in a progressively responsible role in accounting, budget and financial management, or grant management

  • 2 years experience in grant writing

  • Excellent written and verbal communication skills

Preferred qualifications for this position include:

  • Bachelor’s degree in business, technical writing, journalism, or related field of study

  • Experience in a not-for-profit setting
